Job Description

We are looking for an experienced adminstrative assistant who will provide full administrative support to the Director and his team, and who will independently handle all assigned duties, taking direction from and balancing the needs of an office of 6-8 staff.

Tasks/Responsibilities

  • Support with office budgeting, purchasing, payments, and recordkeeping (30% of time)
  • Maintaining and performing searches of various professional databases (20% of time)
  • Making domestic and international travel arrangements for the team, often with challenging itineraries and conditions, and within budget (15% of time)
  • Managing relationships with vendors and support services (office building management, accountants, IT, SARS, etc.) (15% of time)
  • Answering phones, faxes, copying, receiving mail (15% of time)
  • Making and updating lists of professional contacts; maintaining employee files and following HR policies (5% of time)

Requirements

  • Must be a South Africa citizen or permanent resident; proof required, no exceptions (SA work permit alone is not adequate)
  • Previous experience as administrative assistant, executive secretary, and/or office manager
  • Excellent organizational and administration skills
  • Energetic and possess the ability to work independently
  • Solid professional grammar and basic math skills; will be tested prior to any job offer
  • English mandatory; French very useful; Portuguese helpful; will be tested prior to any job offer
  • Demonstrated proficiency on all Microsoft Office applications (Word, Excel, Powerpoint, Outlook); will be tested prior to any job offer
